Position Title: Accounting Manager
Reports To: Executive Director
Location: Salem
Status: Part time, exempt and at-will position and may become full time
Salary Range: $65,000 – $75,000 annually (full time) with full benefits
$32,500 – $37,500 annually (part time) with some benefits

Organization Summary
Established in 2017, Bridges Oregon is a statewide non-profit organization serving Oregonians who are D/deaf, DeafBlind, deaf-blind, D/deaf with additional disabilities, Hard of Hearing, Late-Deafened, persons with unilateral/bilateral hearing loss, and/or child of deaf adults (CODA). It is in our mission to facilitate equity and inclusiveness and to provide a bridge to opportunities through advocacy, education, and communication.
Position Summary:
Bridges Oregon seeks an experienced Accounting Manager to work in a nonprofit organization and is a key financial position for multiple entities, including all of our programs and services funded through our grants and fees for services. Responsible for maintaining the general ledgers, including preparing and processing journal entries and monthly bank reconciliations, as well as the preparation of monthly financial reports. Additionally: analyze and reconcile general ledger accounts; take the lead in calculating medicaid, state, grant (Federal, State, and foundation) and language services reimbursement payments, as well as maintaining the appropriate work papers to support payouts; prepare financial reports and analysis; annual operations budget; report to and assist the Executive Director; take the lead in working with outside consultants to monitor the 401K plan for timely and accurate withholds, deposits and plan compliance. This position is now part-time and may turn into a full-time position.
Duration of this Position
This is a part-time position and depending upon the growth of the organization and its needs, it may turn into a full-time position.
Critical Work Objectives:
- Keep bookkeeping up to date at all times – does not allow bookkeeping to get behind.
- Follows bookkeeping and accounting procedures as set by the organization. No changes to the chart of accounts and bookkeeping systems without approval by the Executive Director and the Treasurer.
- Review and reconcile payroll reports and maintain copies of W-2’s
- Assist with external audits and reviews, interfacing with auditors, gathering requested data and performing analysis
- Record and maintain the fixed assets system, monitoring asset purchases and provide depreciation schedules
- Prepare and file annual property tax reports
- Prepare data and reports for share valuation calculation by outside accountants
- Monitor loan balances and debt requirements to keep companies in compliance with bank covenants
- Provide professional technical support and advisement to the senior management.
- Provide budget narrative to support the request for proposals (RFPs) and grant applications.
- Reconcile all credit card purchases to monthly statements
- Manage the purchase order process for the organization
- Prepare materials for and attend Board and Finance Committee meetings
- Assist in the annual budgeting process.
- Assist in the strategic budgets for long/short term planning for the organization
- Manages crises.
- Seeks out support from co-workers & supervisor, proactively takes responsibility for self and work.
- Documents work and submit reports thoroughly and on time.
- Attend agency fundraiser and events as requested
- Effectively utilizes staff, direct services, and supervision meetings.
- Commits to practice organization’s Mission Statement & Core Values; understands the anti-oppression movement; stays current on culturally relevant information about the populations being served and works in the position.
Operations:
- Input payroll information for payroll vendors on a bi-weekly basis as needed
- Review staff timesheets to ensure that time is correctly allocated to the assigned grants and contracts
- Make cash deposit as needed
- Manage all vendor relationships and resolution of billing issues
- Monitor cash flow and report on cash status on a weekly basis
- Manage the purchase order process for the organization
- Manage all insurance policies (workers compensation, general liability, D&O, etc.)
- Perform twice weekly back-ups for the Quickbooks system
- Process 1099 forms and other forms relevant to the organization
Grant Administration:
- Timely submission of invoices and reimbursement requests to ensure funds are received as soon as possible. This is a top priority.
- Monitor grant and contract expenditures and compare to the approved budgets
- Monitor the grant reporting deadlines for all contracts and grants and meet the expenditure report deadlines
- Follow-up with funders on the status of the proposals, grant modifications, and payment status
- Monitor the agency’s grant vouchering system to ensure that grant funds are coming in accordance with the grant/contract agreements
- Maintain accounting records in accordance with state and federal laws.
- Prepare expenditure reports to the funders in accordance with the required timing dictated by the funder and provide the supporting documentation
- Work closely with the Executive Director on budgets, projects and other grant related procedures.

- Must be physically present at the Salem HQ office; telecommuting must be authorized by the ED and should be limited to special circumstances like inclement weather conditions.

- Ability and willingness to be on-call, work weekends and evenings, and willing to travel.
- Work to establish effective, positive, and ongoing relationships with community partners.
- Serve as a member of the management team and perform other duties as needed or assigned by the Executive Director or Director(s)
Essential Functions:
- Must be physically able to move around the office and in the community frequently.
- Navigate independently will be required infrequently to handle IT issues and office organization.
- Must be able to constantly operate a computer, and other office items such as stapler, printer, smartphone, etc.
- Must be able to professionally and regularly communicate with colleagues, community members, survivors, and others.
- Must be able to constantly problem solve, organize, and prioritize.
- Must be able to occasionally work outdoors in cold or high temperatures.
- Must be able to occasionally carry up to 20 pounds e.g., fundraising supply boxes, cases of papers, etc..
Expected Training:
- Anti-oppression, anti-racism, bias, and cultural responsiveness annually
- HIPAA and confidentiality training annually
- Familiarize with Bridges Oregon’s policy, procedure, and strategic plan.
- Other training as assigned by the grant.
Required Qualifications:
- Experience using QuickBooks products.
- Ability to represent the mission and value of Bridges Oregon to program participants and community partners.
- Ability to maintain positive interpersonal relationships and establish rapport with multiple funding sources and colleagues
- Demonstrated cultural responsiveness and ability to effectively work with those from diverse backgrounds and experiences

- Patience, sense of humor, and willingness to be open to new ideas and ways of doing things.
- Proficiency in Google Suite, Microsoft Word, Excel, and Quickbook.
- Know American Sign Language, if not, shall learn American Sign Language (ASL); and may be asked to take Sign Language Proficiency Interview: American Sign Language (SLPI:ASL) to pass at the minimal of survival rating result or Level 2 with American Sign Language Proficiency Interview (ASLPI) to keep the position.
- Bachelor’s Degree in Accounting or related field; OR equivalent combination of training, volunteering, and work experience.
Desired Qualifications:
- Four to six years progressively responsible experience in accounting, preferably in the nonprofit organization
- Thorough understanding of general accounting principles
- Strong analytical and accounting skills
- A good working knowledge of MS Word, MS Excel, Outlook
- Must be able to effectively handle multiple projects simultaneously with accuracy and attention to detail
- Ability to communicate with a variety of personalities while maintaining a professional demeanor
- Must possess reliable transportation and be able to attend off-site activities regularly throughout the state of Oregon
- Must have dependable auto transportation, valid Oregon State Driver’s license and proof of insurance; clean driving record
- Must pass a criminal background check.
Work Environment
This position will work in a traditional, but the fast-paced setting. Candidate must be able to work remotely from home in the metro Salem area until we acquire our own physical office and be willing to wear a face-covering if requested by individuals in the community spaces or around others; be able to work under deadlines and stress-inducing conditions; be able to travel with an operating vehicle throughout the state of Oregon to meet with our survivors at various locations. Bridges Oregon is an organization with an environment with service regarding survivors of domestic violence, sexual assault, dating violence, and stalking can potentially shift from stable to highly-charged and all employees and volunteers must remain flexible, calm, and creative.
